No Fax? Then email.

Paper/pencil tests are scored by the use of scanning software that reads the answer sheet documents and extracts the candidate information and answers.  Several sponsors have asked if there are any alternatives to faxing the answer sheets.  The answer is YES.  Prov has an email account that you can use to send your scanned answer sheets.  The following are general steps you should follow to submit your answer sheets by fax.

  1. Use a document scanner (or a fax scanner) to create an image of your answer sheet documents.

  2. Set your scanner to a resolution of between 300 and 600 dpi.  Higher resolution is not necessary and causes files to be unnecessarily large.

  3. Scan your files as a set and save the images as TIF (Tagged Image Format) files.   To keep your overall file size lower, you may want to break up your  answer sheets into smaller batches.  While our servers can read email files of any size, other Internet providers may block email messages larger than 2 Megabytes in size.  Small sizes means quicker turnaround on results.

  4. Attach the scanned files to an email message and email them to the following address:        faxin2@provexam.com

  5. Prov's email server will remove the files and will submit your results for grading.

 

 

Why use a scanner and email? 

  1. Using a scanner increases the resolution of the answer sheets.  Traditional fax machines transmit at 100 dpi, whereas many scanners can scan documents at much higher levels.   If you consistently have problems with answer sheets not reading properly, using either the FINE resolution on your fax, or sending via email attachments should resolve the problems.

  2. Scanning is faster.  If you have ever had to fax 40 pages of answer sheets, you know that it takes several minutes for the fax to go through no matter what the speed of your machine.  Scanners can often create numerous images in just a few minutes.  If you have large batches of answer sheets, you may want to consider emailing them over faxing.

  3. If you live in Hawaii, Alaska or outside the United States, you will be unable to use the toll-free fax number provided.  Scanning may save you the expense of faxing.
